Introduction

Following the completion of renovations for IGM Financial, Bennett Design’s Workplace Strategy team was hired to conduct a Post-Occupancy Study (an offering through our DIG™ Workplace Strategy Program), to evaluate the effectiveness of the newly designed spaces. Employee feedback revealed opportunities for improvement in meeting space functionality, ergonomic comfort, and technology integration. By analyzing both quantitative and qualitative data, Bennett Design identified key areas for enhancement and provided actionable recommendations to optimize the standard workplace offerings in future spaces.

Opportunity

The survey revealed several key areas for potential improvement. Employees highlighted challenges with meeting spaces, noting issues such as limited availability, confusing wayfinding, and discomfort caused by non-ergonomic furniture—particularly in settings with tall tables and seating. There were also concerns regarding inconsistent technology and connectivity that affected hybrid meeting experiences, as well as broader accessibility issues for individuals with diverse ergonomic needs. Additionally, some spaces were underutilized, and the intended function was unclear to employees, further contributing to their limited use.

Our Approach

To address these insights, an in-depth survey and comprehensive data analysis were conducted, focusing on both quantitative ratings and qualitative feedback from staff. This process enabled the identification of key problem areas, including underperforming meeting rooms, ergonomic shortcomings, and technology inconsistencies. Based on the findings, targeted recommendations were developed that emphasized redesigning furniture for improved ergonomics, reconfiguring meeting spaces to enhance accessibility and support hybrid functionality and clearly defining the purpose of various areas.

Outcome

The exercise established a clear roadmap for both immediate adjustments and long-term improvements. Key recommendations include redesigning meeting spaces with standard-height furniture, improving booking systems, and resolving technology connectivity issues to enhance the hybrid experience. The redefinition of underutilized spaces was identified as a priority, starting with better education on their function. Quick fixes, such as clarifying wayfinding and room names, have already improved navigation. These insights will help shape new design standards across other office locations, creating a more intuitive and productive work environment.
