Proposal Coordinator

Salary Range: $55,000 - $65,000 annually (Starting salary will be determined based on the successful candidate's qualifications, skills, relevant experience)

We are seeking an organized, detail-oriented, and proactive Proposal Coordinator to support our business development and project delivery teams. The Proposal Coordinator plays a critical role in supporting Bennett Design's growth by managing the proposal process from opportunity identification through submission and project initiation. This position oversees the preparation of compelling, high-quality responses to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and other business development opportunities.

 

Working closely with senior leadership, design teams, finance, and external consultants, the Proposal Coordinator ensures proposals are delivered accurately, on time, and in accordance with client requirements. In addition to proposal management, the role provides project administration and business operations support that contributes to the successful delivery of projects across the organization.

WHAT YOU’LL BE DOING

 

Proposal Management & Business Development Support

 

  • Coordinate the full proposal lifecycle from opportunity identification through final submission.

  • Review and interpret RFP, RFQ, and other procurement documents to ensure compliance with submission requirements.

  • Write, edit, format, and assemble proposal content, ensuring consistency, quality, and accuracy.

  • Coordinate proposal contributions from internal teams, architects, engineers, and other subconsultants.

  • Organize and facilitate proposal planning, review, and submission meetings.

  • Manage proposal schedules, document control, version management, and submission deadlines.

  • Assist in the preparation of project staffing plans, fee submissions, and consultant pricing.

  • Develop visually appealing proposal packages and supporting materials.

  • Maintain and update proposal templates, project profiles, case studies, resumes, and qualification documentation.

  • Coordinate project start-up activities and support the transition from proposal award to project delivery.

 

Additional Service Requests (ASRs)

 

  • Prepare, issue, and track Additional Service Requests (ASRs).

  • Maintain accurate electronic records and supporting documentation.

  • Coordinate communication regarding scope changes between clients and project teams.

  • Monitor approval status and follow up on outstanding documentation.

 

Administrative Support

 

  • Maintain opportunity tracking systems, databases, and reporting tools.

  • Support business development reporting and administrative processes.

  • Assist with administration and maintenance of software platforms and databases.

  • Manage company compliance documents, registrations, and client/vendor portal requirements.

  • Maintain corporate insurance records and renewal information.

  • Track professional memberships, certifications, and credentials.

  • Contribute to the continuous improvement of administrative systems and processes.

Project Coordination

 

  • Support project setup, administration, and closeout activities.

  • Coordinate project initiation requirements with internal departments.

  • Work closely with project and design team leaders to maintain accurate project records and documentation.

  • Assist Accounts Payable with invoice reviews and purchase order requests.

  • Support project reporting and documentation requirements across the organization.

 

REQUIRED KNOWLEDGE & QUALIFICATIONS

 

  • Post-secondary education in Business Administration, Communications, Marketing, Project Management, Interior Design, Architecture, or a related field.

  • Minimum 2 years of experience in proposal coordination, project administration, business development support, or a similar role.

  • Experience preparing and coordinating responses to RFPs, RFQs, and other formal procurement processes.

  • Experience in the architecture, engineering, construction (AEC), design, or professional services industry is considered an asset.

  • Experience using CRM, project management, or proposal management software is considered an asset.

 

Skills/Abilities/Competencies

 

  • Advanced proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.

  • Strong document formatting and presentation development skills.

  • Exceptional organizational and time-management abilities.

  • Excellent written communication, editing, and proofreading skills.

  • Strong attention to detail and commitment to producing high-quality work.

  • Ability to manage multiple projects and deadlines simultaneously.

  • Strong interpersonal and relationship-building skills.

  • Ability to work independently while collaborating effectively across teams.

  • Sound problem-solving and critical-thinking abilities.

  • Professional, client-focused approach with a commitment to service excellence.
